Description of the Job
- When it comes to acquiring products, works, and services, the Purchasing Officer is responsible for doing so in accordance with acquisition policies.
- Management of all hotel procurement activities, including regular reporting and acceleration of those activities.
- This individual is responsible for the maintenance of procurement data, which includes a list of suppliers as well as standards for goods, works, and services. Additionally, they ensure that the procurement process is carried out in a timely and cost-effective manner.
Main Responsibilities for Purchasing Officer
What shall I do?
- The Purchasing Officer will purchase products, works, and services in accordance with procurement policies. He or she gathers proforma invoices for approved purchase requisitions, does offer analysis, and provides suggestions.
- Once the purchase order is complete, the buying officer will follow up to confirm delivery. He or she monitors procurement data, including a supplier list and standards for goods, works, and services, and ensures that procurement is completed on time and within budget.
- As a Purchasing Officer, you will be involved in the purchase process for numerous things required by the Hotel, thus you must accomplish the following activities to the highest standards:
· Help prepare a procurement plan.
· Communicate with user departments to understand their product and service requirements.
· Receives approved Purchase Requisitions (PR) for procuring goods and services.
• Monitors all PRs to ensure price competitiveness without affecting quality or delivery times.
· Identified and researched prospective new suppliers.
· Collect and present proforma bills to supervisor for processing or approval.
· Requests more specifications from the asking department if the purchase request is not fully described and completed.
· Help in sourcing and documenting vendor papers.
· Ensures that purchases benefit the company.
• Ensures timely delivery and pickup of PO for items.
· Creates weekly purchase status report and submits to supervisor.
What are we searching for?
- HND/B.Sc in Business, Finance, or Science related fields.
- 3–5 years of expertise in procurement or supply chain management.
- Preference for experience in hospitality.
- Knowledge of Birchstreet software is advantageous.
- Strong planning and scheduling skills.
- Proven interpersonal skills and ability to deal professionally with varied workforce, suppliers, and consultants.
- Able to work autonomously.
- Excellent English communication skills, both written and spoken.
- Strong understanding of Microsoft Office tools.
