In order to accomplish efficient and long-term illness management and control, we make an effort to go beyond the conventional practices that are now in place and experiment with novel approaches through research, implementation, and the formulation of policies.
Job Role
- The Administrative Officer will assure the efficient use, functioning, and management of the State office by providing general administrative and logistics support. This will encompass the maintenance of an up-to-date database of stakeholders, consultants, and vendors.
- The officer is responsible for the maintenance of all office apparatus, including generators, photocopiers, computers and their networks, printers, and other office assets.
Responsibilities
Office Administration – 70%:
- Coordinate the day-to-day administration of the office with assistance from staff.
- Manage and maintain office assets, utilities, equipment, consumables, and supplies;
- Responsible for registering and updating office assets in the asset register.
- Providing monthly reports on state actions related to administration, procurement, and logistics to the office manager at the country office.
- Set up a filing system for the office to ensure easy storage and retrieval of information;
- Create and maintain effective maintenance procedures for all IT equipment and computers in the office.
- Responsible for managing all logistic arrangements, including maintaining an updated record of events, travel schedules of personnel and short-term consultants (where required), to ensure proper delivery and satisfaction of service to the projects.
- Responsible for procuring assets for state offices in accordance with MC procurement standards, as well as vendor management and contracting with other service providers (including security and IT);
- Will guarantee that all vendors have up-to-date records and proper paperwork. Other service providers and consultants are registered on NAV.
- Responsible for negotiating with hotels, travel, and transportation services, and overseeing general logistics for field/state operations.
- Liaises with the Country Office on administrative and logistical obstacles, as well as other office maintenance issues.
- Line oversees the police driver, giving supervision, coaching, and mentoring support in designing, implementing, and reviewing the vehicle movement plan.
- The officer will examine and sign off on the vehicle log sheet and driver’s time sheet every month.
Programme Activities – 30%:
Coordinate internal and external stakeholder or technical meetings, workshops, and seminars, including all travel and lodging arrangements.
Lead the creation of participants’ lists (i.e., CHWs, health facility staff, team supervisors, ward supervisors, state and LGA supervisors) during MDA and other project activities.
Responsible for contracting short-term consultants at the state office in close collaboration with the HR manager at the country office and in accordance with the procurement policy;
Responsible for managing administration and logistics assistance for the program office on all field-related operations in the state.
In accordance with the program budget and in close collaboration with the finance officer, ensure value for money in all procurements for program activities carried out in the state.
Qualifications and Experience:
Essential
- Bachelor’s degree in administration, social sciences, project management, or anything comparable.
- At least three years of experience in a similar capacity
- Previous experience in the INGO sector and a similar function.
Desirable:
- Person residing in and working in the State of Assignment.
- Extensive experience in similar positions or assignments.
- Work-related abilities and competences include the ability to work independently, organise, and collaborate within a team.
Essential:
- Highly numerical and analytical.
- Ability to work independently and collaboratively, with minimal supervision.
- Capable of multitasking and proficient in Microsoft Office.
- Strong attention to detail and excellent communication abilities.
- Budget development, work plan Implementation and expense reports
- Requirements: Proven English writing skills, excellent computer skills in MS Word and Excel.
- demonstrable passion for the Malaria Consortium’s purpose; a strategic manager with integrity and a desire to work in a dynamic environment.
- Strong analytical skills and experience in translating a strategic vision into an operational model.
- Ability to function effectively in a culturally sensitive environment
- A collaborative and flexible approach, with a strong service orientation.
- Knowledge of using database tools will be an added advantage.
- Skills in MS Access will be an added bonus.
- Proven team-building and representational abilities.
