Job Role

The individual who fills the role of Customer Fulfillment Specialist will act as the point of contact between customers and the organization. The individual will make certain that the orders of customers are completed in a way that is both satisfactory and timely, so that consumers will come back and recommend the company to others who could become potential customers in the future.

Responsibilities of Customer Fulfilment Specialist

Manage a network of retail stores or partners to ensure that all consumer orders are fulfilled on schedule.
Prepare proforma invoices, packing lists, and other necessary sales and export documentation.
Conduct timely and accurate investigations and reconciliations of customer complaints and queries (for example, short delivery, damaged items, delays, blocked orders, incorrect invoicing/pricing).
Communicate with customers to ensure their satisfaction following service delivery.
Participate in the creation and execution of customer service and fulfillment policies and procedures.
Direct the daily operations of the fulfilment service team to guarantee efficiency and adherence to standards.
Plan and prioritize work assignments to ensure proper departmental function.
Track and review customer complaints and resolutions to ensure timely closure.
Manage difficult and escalated fulfillment/customer service concerns.
Define, communicate, and monitor customer and fulfillment service standards.
Create and track customer/fulfillment satisfaction objectives, while coordinating team efforts to accomplish them.
Report on critical fulfilment indicators such as order processing time, on-time departure rate, and fulfilment accuracy.
Maintain accurate client databases in accordance with the acceptable financial risk levels.
Collaborate with the Sales team to monitor and classify trade returns based on reason codes, as well as take strategies to reduce recurrence.
Focus on the following customer service drivers: proactive communication, prompt order processing, effective order management, and great service delivery.
Collaborate with the Logistics Coordinator to ensure timely delivery of client and retail outlet orders.

You may be a strong candidate if:

Have at least an HND/BSC in supply chain, purchasing and supplies, business management, or a similar discipline.
Have two years of relevant experience, preferably in the FMCG supply chain line.
Have good Excel/analytical abilities (macros, VLOOKUP, pivot tables, and charts) to give meaningful data insights.
Are skilled at problem solving and willing to go above and beyond.
Have effective internal stakeholder management.
Capable of adapting to change and developing agile solutions.
Have a thorough understanding of supply chain management (SCM).
You are an adept time manager who works with little or no supervision.
Have soft skills such as converting complaints into opportunities, dealing with tough customers, and managing customers’ expectations.
Knowledge and practical expertise in storage and distribution.
Have the capacity to collaborate with distributors, sales teams, and sales agents to ensure that distribution runs smoothly.
Have expertise and experience with a reliable ERP / WMS (knowledge of the SAP materials management module is an added benefit).
