Job Role

The Program Assistant (PA) is instrumental in guaranteeing the smoothly functioning of the Nigeria Country Office.  

This position necessitates the capacity to manage multiple priorities seamlessly, exceptional attention to detail, and exceptional organizational skills.

The PA will predominantly assist the Family Health Team – Nigeria Country Office (NCO) by coordinating intricate calendars across multiple time zones, supporting stakeholder engagements, and program logistics, and ensuring that no details are overlooked.  

The PA will also offer administrative and coordination support to other programmatic teams as required, thereby facilitating the efficient delivery of the foundation’s priorities in Nigeria.

Duties and Responsibilities

  • Provide direct administrative and coordinating support to the Health Team – NCO, enabling smooth operations and timely implementation of priorities.
  • Manage complex calendars, travel and visa applications, and event planning across many time zones.
  • Help plan and execute high-level meetings, conferences, and stakeholder interactions.
  • Ensure timely completion of action items, proactively preventing bottlenecks.
  • Draft, edit, and prepare high-quality letters, reports, and briefing documents.
  • Support various programmatic teams with administrative and coordination requirements.
  • Maintain orderly procedures for tracking, monitoring, and prioritizing tasks and projects.
  • Develop and manage relationships with government stakeholders, grants, and partners.
  • Handle sensitive information with sensitivity and professionally.
  • Provide communication and logistics support to ensure that daily operations run smoothly.

Qualifications of Program Assistant

  • Master’s degree in Public Health, Health Sciences, Administration, or a similar subject (high preference for medical or public health experience).
  • Minimum of 5 years of relevant professional experience in administration, program support, project coordinating, or a related capacity.
  • Proven ability to multitask, handle complexities, and fulfill commitments in a fast-paced setting.
  • Strong stakeholder management abilities, including experience working with top authorities, partners, and cross-sectoral teams.
  • Excellent writing and communication abilities, including the ability to synthesize complex material into understandable outputs.
  • Proficient with Microsoft Office (Word, Excel, PowerPoint, Outlook, SharePoint, and Teams).
  • Demonstrated ability to collaborate with varied teams and adapt to changing objectives.
  • Culturally sensitive, resourceful, and capable of working both individually and in teams.

Other attributes

  • Experience assisting programming teams with health-related activities.
  • Strong client service orientation and problem-solving skills.
  • You must be legally authorized to work in Nigeria without a visa sponsorship.
  • Up to 25% of the capacity for domestic and international travel is available.
  • Experience in the medical or public health field is required.
