Key Responsibilities
- Respond to client concerns swiftly and with professionalism. Notify clients regarding the company’s products, services, and promotional offers.
- Promptly, accurately, professionally, and courteously, all telephone communications and visitors are received with 100% consistency.
- Ensure that the vendor’s services to the company meet satisfactory standards and that payments are effectively negotiated.
- Proficiency in relationship management with clients, employees, and company vendors
- Time management and an effective documentation and file system
- Ensuring a high level of safety and confidentiality of documents and company information
- Oversee courier and dispatch operations.
- Process monetary claims submitted by site personnel for payment or reimbursement.
- Maintains the supplies inventory by monitoring stock levels; forecasting necessary supplies; placing and expediting orders; and verifying the delivery of supplies.
- Offers administrative support through the development and execution of organizational systems, procedures, and policies, as well as overseeing administrative initiatives.
- Offer administrative assistance to the direct supervisor and other team members as required.
- Oversight of Drivers and other support personnel.
- Deliver uniform and high-quality service to customers via phone and email as frontline officers.
- Address inquiries, suggestions, feedback, and complaints in a courteous and constructive manner.
- Ad hoc administrative responsibilities and additional reception duties.
- Perform any additional responsibilities as assigned by the Director.
- Arrange appointments and manage and update appointment schedules.
- Examine data to identify responses to inquiries from consumers or members of the public.
- Arrange travel itineraries and make hotel and transportation reservations for site personnel and visitors.
