Job Description
- Check and validate all refund request documentation provided by customers.
- Check for client indebtedness in both the legacy system and SAP FI. Whether there are outstanding demurrage costs or other charges owed by clients before processing for payment
- Respond to customers on all requests for overdue charges and follow up for settlement.
- Collaborate with EQC to ensure that empty container return dates are appropriately entered in Equipment Tracking systems, which feed into the Finance/Invoicing systems for an accurate computation of demurrage invoicing.
- Once confirmation is complete, generate debit and credit notes and release them for payment processing.
- Follow up on payment processing to ensure that each request is processed within the specified time frame or SLA.
- Attend to all demurrage system difficulties and provide solutions via remedy or other necessary solutions as the case may be.
- Check for unreturned container units or unclaimed cargoes, and do not process if the customer has not returned or claimed the units.
- Checking the customer’s account to view balances and advising for account clearing when there are uncleared completed transactions in the customer’s account.
- Follow up on all logistics issues that require rectification, ensure they are fully documented, and all appropriate approval is sought. Investigate and address concerns of underpayment of refund
- Send accurate and confirmed SOAs to clients with outstanding SOAs, advising them of their due commitments. In addition, a frequent follow-up plan should be in place to ensure that payment is received on time.
- Weekly report to the Finance Manager on operations and all pending issues.
- Any other job as necessary by the Demurrage & Detention manager.
Requirements for Demurrage and Detention Coordinator
- First degree in maritime, shipping, or similar areas.
- Between 2-3 years of previous experience in a similar position.
- Strong ability to manage relationships, analyze data, and solve problems.
- Good command of written and spoken English.
- MS Office proficiency.
