Job Purpose

To manage the sourcing, evaluation, and procurement of goods and services in a transparent, cost-effective, and compliant manner, ensuring full adherence to company procurement controls and approval procedures

Key Responsibilities

Procurement & Sourcing

  • Receive and process approved Material Requisition Forms (MRFs).
  • Source materials and services from approved and verifiable vendors.
  • Obtain a minimum of three written quotations for each purchase, except where otherwise approved.
  • Prepare price comparison and evaluation sheets for management approval.
  • Issue Purchase Orders (POs) strictly in line with approved authorizations.
  • Track supplier delivery performance and follow up on outstanding orders .

Vendor Management

  • Maintain and update the Approved Vendor Register.
  • Conduct basic vendor due diligence (registration details, bank information, references).
  • Prevent duplicate or ghost vendors.
  • Ensure ethical engagement with all suppliers .

Documentation & Compliance

  • Ensure all procurement activities are fully documented and auditable.
  • Maintain accurate procurement records (MRFs, quotations, POs, delivery status).
  • Ensure compliance with company policies, approval limits, and internal controls.
  • Support internal and external audits when required .

Cost Control & Reporting

  • Monitor procurement spend against approved budgets.
  • Identify cost-saving opportunities without compromising quality or safety.
  • Prepare weekly procurement reports for management review.
  • Escalate any irregularities, risks, or attempted control bypasses immediately .

Prohibited Activities (Non-Negotiable)

The role operates under strict control and compliance requirements. The following activities constitute misconduct if breached :

  • Approving payments or handling company funds.
  • Receiving or storing goods.
  • Issuing materials from stores.
  • Selling goods or services to the company.
  • Receiving gifts, commissions, or inducements from suppliers.
  • Creating vendors without approval.

Qualifications and Requirements

  • HND / BSc in Procurement, Supply Chain, Engineering, Business Administration, or a related field.
  • Minimum 3–5 years of experience in procurement (industrial or oil & gas environment preferred).
  • Strong understanding of procurement documentation and approval workflows.
  • Proficiency in Excel and basic procurement systems (Zoho experience is an advantage) .

  • Excellent documentation and attention to detail.
  • Ability to work independently and resist undue influence.
  • Clear written and verbal communication .

Performance Indicators (KPIs)

  • 100% procurement backed by approved MRFs and POs.
  • Minimum 3 quotations per purchase (where applicable).
  • Zero unauthorized purchases.
  • Cost savings achieved against baseline pricing.
  • Clean audit outcomes .
